Booking Terms & Conditions

Everything you need to know before booking your Himalayan adventure — deposits, payments, refunds, and your responsibilities as a traveller.

Terms effective from 28 July 2026

To secure your place on any HSJ trip, a minimum down payment of 20% of the total trip cost is required at the time of booking. The remaining balance can be settled 30 days before departure or upon your arrival in Kathmandu.

Important:
The down payment is non-refundable in the event of cancellation. Please read our Refund Policy (Section 5) for full details.

If this payment schedule causes any difficulty, please contact us — we aim to be as flexible as possible and will work with you to find a solution.

We offer two convenient ways to make your payment:

  • Online Payment— pay securely by credit card at hsj.sg/payment. Visa, MasterCard and American Express accepted.

  • Bank Transfer — transfer directly to our Himalayan Bank Limited account. No handling fee.

⚠️Security Notice

Do not transfer funds to any other bank account. If you receive an email requesting payment to a different account, please contact us immediately — this may be a phishing attempt.

The remaining balance is due at least one month before your arrival in Nepal.

Credit Card Fee
A 3.5% handling fee applies to all credit card payments on the outstanding balance. There is no handling fee for bank transfers.

We are happy to accommodate last-minute bookings — but only for Nepal trips.

In the event of cancellation, no refund will be made on the deposit amount. However, HSJ is happy to postpone your trip to a later date rather than cancel it — we strongly encourage this option.

Full Payment Cancellation
If you have paid the full trip cost and subsequently choose to cancel, HSJ will refund the amount paid less a 20% cancellation charge. Written notification of your cancellation is required.

The deposit amount can be used as credit toward a future HSJ trip, subject to availability.

All HSJ tour and trek packages are priced on the basis of twin-sharing rooms or tents.

A single supplement charge will apply to any client who does not have another participant to share accommodation with. Please enquire for the applicable rate for your chosen trip.

No Refund
No refund will be issued to clients who withdraw from the journey before its completion, regardless of how much of the itinerary remains unused.

We strongly recommend comprehensive travel insurance to cover costs that may arise from early departure due to medical or personal reasons.

If Himalayan Social Journey must cancel your trip due to circumstances beyond our control — including war, natural disasters, political conflict, or severely unfavourable weather — we will offer an alternative trip of comparable standard.

Full Refund
If the alternative does not suit your interests, all money paid to HSJ will be fully refunded. Any other expenses you have incurred (flights, visas, insurance, personal costs) remain your own responsibility.

The tour or trek guide who represents Himalayan Social Journey holds full authority during your trip and must be respected at all times.

The guide's decisions — especially regarding route, pace, and safety — are final and are made in the best interest of all participants.

Mandatory
Comprehensive travel insurance is required for all clients. HSJ is not liable for any costs arising from inadequate or absent insurance coverage.

Your policy must cover at minimum:

  • Medical emergencies and hospitalisation

  • Natural calamities and evacuation

  • Helicopter evacuation at altitude

  • Personal accident

  • Trip cancellation and curtailment

Prior notice is required for any changes to an agreed itinerary. If you wish to alter your programme, please contact us as early as possible and stay in communication with your guide.

Occasionally, itinerary adjustments may become necessary during the trip due to adverse weather, trail conditions, or other unforeseen factors. In such cases, your guide will always offer the best available alternative.

All required travel documents — including a valid passport, visa, trekking permits, and any other paperwork — must be in order and presented correctly before departure.

Client Responsibility

HSJ is not responsible for any costs, delays, or cancellations resulting from missing, incomplete, or incorrect documentation provided by the client.

Flight delays and cancellations are a common reality in Himalayan regions due to unpredictable mountain weather, particularly at high-altitude airstrips including Lukla, Jomsom, Dolpa, Simikot, and Jumla.

In such cases, your itinerary will be modified accordingly. Our guides and operations team will work to minimise disruption and keep your experience as seamless as possible.

7% of every trip

Through the Himalayan Community Project, 7% of the proceeds from all HSJ-organised trips and treks go directly toward improving the educational opportunities of underprivileged children in the rural areas of Nepal.
